Operations Manager

POSITION SUMMARY

Responsible for all aspects of CRIISC operations management and administrative responsibilities with the goal of maximizing efficiency and effectiveness throughout the organization, while ensuring all activities are aligned with our mission and culture. They will build systems that endure and grow as the organization grows. They will work closely with the Executive Director and necessary staff to support the coordination and operational management of the organization’s core elements, including elements of bookkeeping, financial transaction processing and the administration of its databases and facilities. They will oversee the day-to-day operations of the office, ensuring that it runs efficiently and that all members of the team have what they need to succeed. This individual will also develop and nurture partnerships with stakeholders, partners, and vendors to ensure quality within the organization’s systems.

This individual will be accountable for making adjustments to optimize results as well as adhering to the policies and budgets set forth by the Executive Director. The position includes supervising part-time staff, interns, and volunteers as needed.

In this role, the Operations Manager will frequently interact with board members, fund holders, donors, and non‐profit leaders and will coordinate communication and information flow among those individuals to positively impact the organization.

ROLES AND RESPONSIBILITIES

Operations

  • Manage payables/receivables and bank deposits for the Diversity Center, grants, exhibitions, and other CRIISC activities in preparation for the bookkeeper and/or accounting system
  • Supervise and support Operations staff
  • Manage and schedule the Diversity Center and all other necessary elements
  • Develop and maintain financial tracking and reporting process for granting agencies
  • Support the Executive Director in financial analysis for donor relations and fundraising
  • Maintain an onsite Operations manual
  • Establish a robust human resources management process that includes annual revisions of personnel job descriptions and compensation, performance reviews, and updates of the employee policy manual
  • Support the Executive Director in onboarding interns, staff, and volunteers
  • Assume responsibility with Executive Director for the preparation of the annual financial budget and operating plans, collaborating with the treasurer and the finance committee for submission to the full board
  • Monitor the budget throughout the year, present periodic reports to the finance committee, and conduct semi-annual budget adjustment
  • Supports Executive Director in day-to-day administrative tasks including calendar and financial management
  • Processes data for participant and outreach databases as needed for fundraising and grant submissions
  • Coordinate with building maintenance contractors as needed to ensure the smooth running of CRIISC operations systems.
  • Collaborate with Mission Heritage Plaza partners on building maintenance and other operations tasks.
  • Work with Risk Management board committee to create and maintain necessary policies and procedures

Programming and Community Outreach/Engagement

  • Provides operational and administrative support for public programs and community outreach that align with the organization’s mission and goals
  • Engage in community activities to represent the institute to civic and public leaders, educational and community organizations, and nonprofit partners as needed
  • Supports staff on special events as needed

 

OTHER DUTIES

  • Encourage staff’s creative and professional development, and create and support a workplace environment that fosters employee engagement, satisfaction, and a high level of professional performance.
  • Support the Executive Director in collaborative partnerships that increase both organizational visibility and visitation, as well as community participation in programs and event
  • And all other tasks requested by the Executive Director

QUALIFICATIONS

Qualified applicants will have a bachelor’s degree with two to three years of experience in operational management. They will also have excellent communication skills, written and verbal and the ability to work well with necessary stakeholders. They will be able to manage several simultaneous projects while tracking future planning, research, and funding activities. They will have a track record of operations management by completing projects from conceptualization to final execution and reporting successfully. They will have experience with administrative tasks including managing financials and be highly organized. Additionally, they must have fluency in utilizing productivity software (e.g.Google Suite, Microsoft Office, etc.) with spreadsheet and quickbooks expertise.

COMPENSATION AND BENEFITS

The anticipated salary for this position is $70,304.00

The benefits package includes health insurance, vacation days, sick days, CRIISC designated holidays, possibility for remote work, two weeks paid closure at end of year, and professional development opportunities.

ORGANIZATION

The Civil Rights Institute of Inland Southern California (CRIISC) is an organization that inspires people from all walks of life through lifting up the historic and ongoing civil rights stories of the region, fostering community advocacy, and building champions of tomorrow. Its vision is to connect people through stories, sharing of information, and personal relationships to make Inland Southern California a center of civil rights and social justice. The CRIISC is a regional center within the Mission Heritage Plaza and serves as a place of action and conversation to tell the story of civil rights in the region.

The new facility includes exhibitions that are open to the public and a publicly accessible space for community meetings and events, as well as a digital archive which collects and archives public oral histories and other current and historical information about regional civil rights events.

Separate budgets and funding for exhibits and other programming is anticipated. The inaugural Executive Director will hire additional staff to support the mission and vision of the organization.
